How to Choose a 3PL in the UK - A No-Nonsense Guide

There are a lot of 3PLs in the UK, a quick search will return dozens of options! All with professional websites, compelling claims and services that can look very similar.

So how do you actually choose?

How do you cut through the marketing and find a provider that will genuinely support your brand — not just now, but as you grow?

This is the no-nonsense guide to choosing a 3PL in the UK. No jargon, no fluff, just the things that actually matter.

Start With Your Own Requirements

Before comparing providers, get clear on what you actually need. The right 3PL for one brand won't necessarily be right for another.

Consider:

How many orders do you process — and where will that number be in 12 months?

You want a provider that can handle your current volume and has the capacity to grow with you.

Which channels do you sell through?

If you're selling through Shopify, Amazon, eBay, Etsy or TikTok Shop, make sure your 3PL can integrate with all the channels you use.

How important is your packaging and presentation?

If branded packaging, personalised inserts, tissue paper or kitting are part of your customer experience, make sure the provider can deliver these consistently.

Do your products have specific requirements?

Fragile, oversized, high value or temperature sensitive products may need specialist handling.

Are you planning to expand internationally?

If international growth is on the roadmap, choosing a 3PL with international capability can save you from having to change providers later.

The Non-Negotiables

Once you know what you need, there are a few things that should be standard when evaluating a modern 3PL.

A proper WMS

Your warehouse management system affects accuracy, speed, visibility and scalability. If a provider is still relying heavily on spreadsheets or manual processes, that's a red flag.

Same-day dispatch

This should be standard, with a realistic cut-off time and a clear process for orders received afterwards.

Real-time stock visibility

You should be able to see your stock levels, order statuses and dispatch information without having to chase your fulfilment provider for updates.

Transparent accuracy reporting

A 3PL should be able to tell you its accuracy rate and show you the data behind it.

Direct ecommerce integrations

Orders should flow automatically from your sales channels. Manual spreadsheets and data entry shouldn't be part of the core process.

How to Build Your Shortlist

Once you've established your requirements, start narrowing down your options.

Ask for recommendations. Other e-commerce founders can often give you a much more honest picture of a 3PL than its website can.

Search for specific requirements. Instead of simply searching "3PL UK", search for what you actually need — such as "same-day dispatch 3PL UK" or "Shopify fulfilment UK".

Check independent reviews. Look beyond testimonials on the provider's own website. Reviews on platforms such as Google and Trustpilot can reveal useful patterns.

Look at their online presence. Does the provider demonstrate genuine knowledge of e-commerce fulfilment? Do they talk about their standards and processes, or does everything feel generic?

Aim to create a shortlist of around three to five providers before starting detailed conversations.

Ask the Right Questions

Your first conversation with a 3PL should be about more than getting a price.

Are they asking questions about your business? Do they understand your requirements? Are they honest about what they can and can't do?

Be cautious of providers who jump straight to pricing without understanding your operation.

Some questions worth asking include:

  • What is your accuracy rate, and can you show me the data?
  • What WMS do you use?
  • Can I see your client portal?
  • How do you handle bespoke packing requirements?
  • Can I speak to some of your existing clients?

The answers — and how confidently they're given — can tell you a lot.

See the Operation for Yourself

If possible, visit the fulfilment centre before making a decision.

A well-run warehouse should be organised, clean, clearly labelled and supported by systems that are visibly working. You don't need to be a logistics expert to get a feel for whether an operation is being managed properly.

It's also worth speaking to existing clients. Ask them about communication, how problems are handled and whether the service has lived up to what was promised.

These conversations can reveal the difference between what a 3PL says it does and what it's actually like to work with.

Don't Just Compare the Headline Price

Ask for a detailed, itemised pricing breakdown covering storage, pick and pack, shipping, returns and any additional services.

Most importantly, understand what triggers extra charges and how the pricing changes as your order volume grows.

The cheapest option isn't necessarily the best value.

You're choosing a long-term operational partner, so the quality of the service matters just as much as the price.

Watch Out for the Red Flags

There are a few things that should immediately make you question a provider:

  • Vague answers about accuracy
  • No client-facing portal
  • Reluctance to provide references
  • Heavy reliance on spreadsheets or manual processes
  • Long contracts or difficult exit terms
  • A provider that claims it can do everything without acknowledging any limitations

The best 3PLs aren't afraid to be honest. They'll tell you when something isn't their speciality or when another approach might work better.

That honesty is valuable.

The Most Important Factor: Partnership

Accuracy, technology, pricing and dispatch times all matter. But there's another factor that's harder to measure: cultural fit.

You're trusting your 3PL with your stock, your brand presentation and ultimately your customer experience.

You want a partner that communicates well, flags problems proactively and genuinely cares about helping your business grow — not one that simply processes your orders and treats you like another account number.

Ask yourself: Do I trust these people with my brand for the next few years?

That answer matters.

Making the Final Decision

If you're choosing between two providers, look beyond the spreadsheet.

Who do you trust more?

Who is better positioned to support where your business is going?

Who feels like a genuine partner?

You're not just choosing a fulfilment provider for today. You're choosing the infrastructure that will support your business as it grows.
